Privacy Policy

This policy explains how NovexaOS handles information submitted through our website and processed while providing the NovexaOS service.

Effective and last updated: 1 August 2026

Scope

This policy applies to the NovexaOS website, demo-request form and hosted application. A signed order, data-processing agreement or customer contract may provide additional terms for a particular workspace.

NovexaOS customers decide what operational and customer information their authorised users place in a workspace. In that context, the customer controls the business purpose and NovexaOS processes the information to provide the service.

Information we handle

  • Demo and contact information: name, work email, company, business type, optional phone number, priorities and the challenge you describe.
  • Account and workspace information: identity, role, organisation, branch, settings and authentication activity.
  • Operational content: shipment, party, document, customs, billing, workflow, client-collaboration and public-profile information entered by authorised users.
  • Technical and security information: IP address, device and browser details, request records, diagnostics and security events needed to operate and protect the service.

How we use information

  • Respond to enquiries and prepare a relevant product walkthrough.
  • Provide, secure, support and improve the NovexaOS service.
  • Authenticate users, apply workspace permissions and investigate misuse or failures.
  • Send service communications and fulfil contractual or legal obligations.

Demo requests

When you submit the demo form, the information is sent to the NovexaOS team through our email-delivery provider so we can respond and tailor the walkthrough. Please do not include passwords, confidential shipment documents or other sensitive operational data in the free-text field.

Service providers and disclosure

We may use providers for hosting, email delivery, storage, mapping, fonts and infrastructure operations. They receive only the information needed to perform their service and are subject to their own contractual and legal obligations.

We may also disclose information when required by law, to protect people or the service, or in connection with a business transaction subject to appropriate safeguards. We do not sell personal information or use it for third-party advertising.

Retention

We retain information only for as long as reasonably needed for the purposes described here, including service delivery, security, dispute resolution and legal obligations. The applicable customer agreement and workspace lifecycle may determine more specific retention periods. Demo and contact records may remain in business email systems while the enquiry is active and for an appropriate follow-up period.

Security and international processing

NovexaOS uses HTTPS, protected authentication cookies, tenant and role-aware access controls, and operational logging to reduce risk. No internet service can guarantee absolute security. See our Security & Access resource for the current control model.

Providers and authorised team members may process information in countries other than yours. Where required, we use appropriate contractual or legal safeguards.

Your choices and rights

Depending on your location, you may have rights to request access, correction, deletion, restriction, objection or portability. Workspace users should normally contact their organisation first because it administers their account and operational content. We may need to verify identity and may retain information where law or legitimate security needs require it.

We may update this policy as the service or legal requirements change. We will publish the revised date here and provide additional notice when a change materially affects how information is handled.
